Welcome to the Customer Relations Management, or CRM, reports for REAL/Easy FOS and BOS. These reports were built for GUI Software for inclusion within the REAL/Easy BOS (Back Office System).

As many REALTORS already know, keeping in contact with sellers and buyers at all times is a must for a successful brokerage. Strong companies have learned long ago, that the company, as well as the agents, needs to be proactive with all sellers and buyers, potential, pending and already closed, to maximize the value both to the customer and brokerage.

Successful brokerages have done for years which is now called CRM, or Customer Relations Management, in big companies. That's because real estate has always been a competitive business where individual customer satisfaction and relationships have been key.

In order to provide good service, you need to first make sure you have accurate and complete seller and buyer information. It’s hard to benefit from seller and buyer follow-up letters and mailings if the accounting or administrative department is only entering financial details and maybe only customer names but no mailing, source, phone number and other details.

Use the CRM reports to help insure this information complete and to provide convenient follow-up and verification lists for anyone in your company that has to deal with your sellers and buyers. The basic reports can assist for both listing and sales activity. General lists can be printed, and you can also verify and check seller/buyer/agent details as well.

To help, when these reports are viewed on the screen, more details about each listing or transaction can be viewed by using the "drill-down" feature. Two levels of details are available: seller/buyer details and listing/selling agent details.

View and Check Details with Drill-Downs.

You can use the seller drill-down view, for example, to check for needed information or to make a follow-up call. If missing items are needed from an agent, you can print the detail report for the agent (it also looks like an input form) seeking the required data (e.g. addresses, source, phone numbers). Managers can also use the detailed views to help obtain information to assist in listing marketing and transaction closings.

CRM Group 1: Listing/Seller Reports

The CRM listing/seller reports can be used by managers, office administration, agents, agent assistants, and front desk personnel in many facets of listing management and marketing. The primary function of these reports is to provide key listing inventory information including sellers and listing agent names and other key data. Reports are included that order the listings in different ways. The above, for example shows listings written by listing date. This list can be used to view listing written activity day by day, note new listings, and many other purposes.

Items included in the CRM listing report are:

Property: the street address of the property - also included city and state

ListID: the FOS list ID assigned

Status: the current status of the listing

List Date: the listing date for the property.

Expire Date: the listing contract expiration date.

Price: the current or last list price of the property.

ListAgents: the listing agent, or agents, for this property, identified in the FOS Agents tab.

Seller: the seller, or sellers, of the property as identified in the FOS Contacts tab.

There are listing/seller reports for: written listings, active listings, and one for cancelled listings followup/review. The reports are ordered many ways to suit different needs. The CRM reports available are:

Written Listings Reports:

branchcrmwrittenlistbylistdate written listings for a specified list date range sorted by list date. This report is handy for viewing written activity day by day, or verifying entry of written listings.

branchcrmwrittenlistbylistprice written listings for a specified list date range sorted by current list price. This list is handy for searching for new listings at certain price levels

branchcrmwrittenlistbylistID written listings for a specified list date range sorted by list ID. Use this list to locate written listings when you know the list ID.

Active Listings Reports:

branchcrmactivelistbylistdate report of all active listings by list date.

branchcrmactivelistbyagent report of all active listings by listing agent, use to find a listing or listings when you know the agent’s name.

branchcrmactivelistbycurrprice report of all active listings by current price. This is a good report for calls with buyers.

branchcrmactivelistbylistID report of all active listings by list ID. Easy to find a listing when you know listing ID.

branchcrmactivelistbylistseller report of all active listings by seller name (last). Use to find the listing when all you know is the seller name.

branchcrmactivelistbyliststreet report of all active listings by street name. Helps find listings active when street name is given.

branchcrmactivelistbyexpdate report of all active listings by expire date. This report prompts for the expiration date range. Use this report as an expiration list to review actions to take with sellers.

Cancelled Listings Report:

branchcrmcancelledlistbyexpdate report of all cancelled listings by expire/cancel date. This report prompts for the expiration date range.

Looking up client and customer information - using drill-downs:

There are two levels of "drill-down" for these reports. The first level provides important details for the seller(s) of the listing. The second level shows details for the listing agents.

To drill down to seller details for a particular listing, you need to position your mouse-pointer, or cursor, over the listing you are interested to obtain the "eyeglass" as shown above. Then, double-click, and new page showing the seller details will appear. In the example, we are selecting the 115th Avenue property, listing ID 00013.

Above illustrates the seller drill down information. Note that a complete new report screen is created with th original listing still shown at the bottom ("boxed-in"). Above the listing information in this example, there are two sellers for this: Dr. Perry Aire and Pete Moss. Each is shown with the following details:

SellerName: seller name as entered in the listing contact tab

Spouse Name: the spouse name for the seller as entered on the listing management contacts tab detail.

Company: the company the seller is with

PhoneRes: the seller's home phone

Cell: the seller's cell phone number.

Bus: the seller's business phone number.

Source: the source of the seller, i.e, how we had first contact with the seller for this listing contract

Street: the seller's mailing address.

City,ST,Zip the seller's mailing address.

AgentCode: the agent code of the agent assigned to the seller in the listing contact tab detail.

Branch: the branch assigned to work with the seller.

So, this drill down is handy for viewing and printing seller details for selected listings.

Looking up agent details with the second drill-down:

To drill down to listing agent details, move the mouse pointer over the seller record, and double-click when you see the eyeglass pointer appear. This will display the agent details for this listing and seller as shown below:

Again, this view shows the original listing information line at the bottom, along with the seller detail. Added above are details about the listing agents. Included are:

Agent Role: the role for the agent

Agent Name: name of each agent involved with the property

Agent code: code assigned to the agent in FOS/BOS

LSides: the number of list sides for the agent

PhoneRes: agent’s home phone

Volume: the volume assigned/earned by the agent

CRM Group 2: Transaction, Seller, Buyer Reports

Above is a sample report for the CRM Group #2 reports for your sales transactions. For pre and post closing activity, the CRM transaction seller/buyer reports are helpful to managers, office administration, agents, agent assistants, and front desk personnel in areas of transaction management and marketing.

The primary function of these reports is to provide important transaction information including seller, buyer and agent names and other data. Reports are included that order the transactions in different ways. The above, for example shows a list of pending transactions by close date. This list can be used to view up-coming closings to aid in closing coordination and planning.

Items included in the transaction CRM report are:

BOSID: the BOS transaction ID assigned

Property: the street address of the property

Status: the current status (abbreviations: C=Closed, P=Pending, F=Firm)

Type: sale type for the transaction

Pend: pending date

Close: the estimated or actual close date

Price: the sale price

ListSideAgent: the list side agent name(s)

Seller: the seller name(s)

Second line:

BuyerSideAgent: the buyer, or sell, side agent name(s)

Buyer: the buyer name(s)

When these reports are viewed on the screen, more details about each transaction can be viewed by using the drill-down feature. Two levels of details are available: seller/buyer details and agent details. These are illustrated on the following pages.

There are transaction/seller/buyer reports for written sales, pending sales, and closed sales. The reports are ordered many ways and select all or sales-only transactions to suit different needs. The CRM transaction reports available are:

CRM Written Transactions Reports:

branchcrmwrittentranallbypend all written transactions for a specified pending date range sorted by pending date. This report is handy for monitoring written transaction activity including sales and other transaction types day by day, or verifying entry and completeness of written business.

branchcrmwrittentranallbyclose report of all transactions written for a specified pending date range sorted by actual/estimated close date. Good report to answer "What happened to our written business from November?".

branchcrmwrittentransalesonlybypend sales-only transactions written in a specified pending date range sorted by pending date. Use to monitor written sales-only activity and potential. This report is handy for viewing written transaction activity including sales and other transaction types day by day, or verifying entry and completeness of written business.

branchcrmwrittentransalesonlybyclose sales-only written transactions for a specified pending date range sorted by actual/estimated close date. Use to review status and potential of business written during a certain time period.

branchcrmwrittentransalesonlybyBOSID list the sales-only written transactions for a specified pending date range sorted by BOSID. A good report for those who file by BOSID or need a list to locate by BOSID.

 

CRM Pending Transactions Reports (include transactions with status pending and firm):

branchcrmpendtranallbyclose report of all current pending transactions for a specified close date range sorted by the estimated close date.

branchcrmpendtranallbyseller report of all current pending transactions for a specified close date range sorted by the seller names. Helpful report for looking up pendings by seller name. If there is more than one seller, the transaction will be listed under each seller.

branchcrmpendtranallbybuyer report of all current pending transactions for a specified close date range sorted by the buyer names. Helpful report for looking up pendings by buyer name. If there is more than one buyer, the transaction will be listed under each buyer.

branchcrmpendtransalesonlybyclose report of sales-only current pending transactions for a specified close date range sorted by the estimated close date. This is a useful report, generally week by week, to help review, plan, and provide to-do-contact list sellers/buyers for up-coming closings.

branchcrmpendtransalesonlybyBOSID report of sales-only current pending transactions for a specified close date range sorted by the BOS transaction ID. This is a useful report for looking up seller/buyer details by BOS ID

CRM Closed Transactions Reports:

This is a useful report to help follow-up with verifying key seller/buyer address and other information. Also good for to-do-contact lists for thank-you and service rating questionnaires.

Then, double-click, and new page showing the seller/buyer details will appear. In the example, we are selecting the North Grant Street property.

Name: seller or buyer name as entered in the transaction contact tab

Spouse Name: the spouse name for the seller/buyer as entered on the transaction contact tab detail.

Company: the company the seller/buyer is with

PhoneRes: the seller/buyer's home phone

Cell: the seller/buyer's cell phone number.

Bus: the seller/buyer's business phone number.

Looking up agent details with the second drill-down:

To drill down to listing agent details, move the mouse pointer over a seller or buyer record, and double-click when you see the eyeglass pointer appear. This will display the agent details for this sale and seller/buyer as shown below:

 

This view shows the original transaction information line at the bottom, along with the seller/buyer detail. Added above are details about the listing and selling agents. In this example, there are two list side agents and one sell side agent. Information included is:

Agent Role: the role for the agent
