Welcome to the listing summary reports for REAL/Easy FOS and BOS. As listing contracts are written, pended and closed in BOS, it can be helpful to summarize how successful the company is at it's listing sales and marketing programs. The R32 sales summary reports can help you:
- Analyze your listing written business by current status to observe sales success and potential by comparing active, pending and closed units and volume with expired and cancelled levels.
- Observe how long your listing contracts are and the days on market by status, property type, and other criteria.
- Calculate how your listing prices hold up compared to sales prices to help improve listing pricing guidelines or identify turns in the market.
- Analyze average price statistics in various markets to assist in sales and market positioning and promotion.
Key to the listing summary reports value is the accurate and complete entry of written, expired, pended and closed listing business and changes in that business. Most important is entry of written listings including original and current prices, listing and expiration dates, sales associates and earned listing units. When listings are pending and closed it in important to update these changes in listing status, and enter the sales pending and closed dates and sales prices.
Effect of Listing Marketing:
How well your company lists and markets properties is partly reflected in a number of statistics:
Listing contract term. This is the length of the listing contracts your company is writing and can reflect the confidence sellers have in your company, as well as market conditions. For the summary reports, this figure is the number of days between the listing date and the expiration date.
Days on Market. This is the length in days it takes for listings to obtain purchase agreements (accepted offers). It is the number of days between the listing date and the pending date. Most sellers want to pick a company with a low days-on-market track record balanced with high closing sales prices. For the firm, a lower days on market figure can mean a number of things such as revenue coming in faster, a hot market, a successful marketing program with sellers, but also a need to rethink listing price levels.
Percent current listing price to original listing price. This statistic can reflect how successful the firm's agents and the seller are at targeting the listing's original price compared to the current market. If the original listing price is too-high, subsequent price changes indicated by a lower percent here might indicate slowing markets or a need to improve initial listing pricing levels.
Percent sales price to original listing price and to current (last) listing price. These statistic also help the firm analyze how well the original and/or current(changed) listing prices are held when sales are made. Most companies may find that the higher this percentage is, the lower the days on market is and the hotter the market is becoming. In active markets, this may exceed 100% indicating that listing prices may be too low.
Helping at different levels:
If a company is serving different market types, usually by branch, marketing programs need to be tailored for each one. Further, branch managers need to be able to assist agents with their listing efforts so they need to view individual agent listing statistics. And Broker/Owners need to track how listing production is doing company-wide. To help do this, the reports can be viewed and printed at these levels:
Broker-owners with the company level reports.
Branch managers and administrators would use the branch level reports.

Running the summary reports:
As described, the R32 reports can be run to summarize listings written, pending, closed, and expired production. Listing date ranges and DOM (days on market calculation) as-of dates are requested before the report is run. Further, with branch or agent level reporting you can select individual branches/agents or all.
Normally, the report is displayed on the screen first and all or selected pages can be printed.

When these reports are viewed on the screen, more details about each summary line (e.g. total of all active listings) can be viewed by using the "drill-down" feature. Two levels of details are available: listing details and agent details.
You can use the listing drill-down to observe the individual listing price, price percentages, and days on market contribution to the report subtotals. The agent level drill-down is used to view individual agent sides and volume generated for a selected listing.

How is our listing inventory doing?
Use the Summary by Listing StatusThe summary reports calculate totals and averages for the listing production figures from the detail listing data. There are a number of summary types available. Above is a sample of a branch level report of all written listings for a selected listing time period and "As of " a particular date (e.g. 12/31/1999).
The report totals the figures by current status with subtotals for
Net Written (Active, Active-Offer-Written, Sold(closed)),
and Written but Exp/Canc (expired or cancelled).
The items are:
Listing Status: the current status of the listings written.
ListingUnits: the total list units written for the period assigned to the listing agents.
List Volume: the total list volume written for the period. For all status' except for "sold" this will be the sum of the current list prices X sales agent list units assigned to the agents. For sold listings, the sale price is used to compute the list volume.
AvgDays L-Con:the average length of the listing contracts. For all status' except "cancelled", this is the expiration date less the listing written date. For cancelled listings this is calculated from the listing cancel date and the listing written date.
AvgDays Mkt:or, DOM, days on market, the average time sold and offer written (pending) listings were on the market. This is the difference between the listing's pending date and the listing written date. For active listings, this is the difference between the "As-Of" date entered with running the report and the listing written date. Usually you would enter today's date for the as-of date and the DOM for the actives would then be "average days active listings have been on the market as of today".
OriginalListPrice: the total original list prices of all listings written for the period.
CurrListPrice: the total current (or last) list prices for all listings written for the period.
CurrListPrice %Orig: this is percent that the current list price total is of the original list price total. The percent indicates how close to the original list prices that the current list prices are for listings written in the selected period.
Pending/ClosedListUnits: the total list units now pending or closed from the written for the period.
SalePrice: the total sale prices of all listings written for the period that are now pending or closed.
SalePrice %Orig: this is percent that the sale price total is of the original list price total. The percent indicates how close to the original list prices the sale prices are for listings written in the selected period.
SalePrice %Curr: this is percent that the sale price total is of the current list price total. The percent indicates how close to the current list prices the sake prices are for listings written in the selected period.
Summary by Listing Status – Listing detail drill-down:
Information about the listings that make up any of the summary lines in the report can be viewed using the drill-down feature. This feature is activated when viewing the summary report on the screen, as shown above. To view the details of a summary line, such as the six sold listings of the sold summary line, position the cursor over that line to obtain the magnifying glass as shown above and double-click.

Listing ID: the FOS listing ID.
Status: the current status of the listing is indicated beneath the listing ID.
StreetAddress: the property address of the listing.
PropertyType: is shown below the address.
List Units: the total list units assigned to agents for this listing.
ListDate: the list (written) date is shown below the list units figure.
ListVolume: the total list volume assigned for the listing. This is calculated as the number of list units times the current list price for active listings or times the sale price for pending or sold listings.
ExpirationDate: the expiration date for the listing contract.

SalePrice %Orig: this is percent that the sale price is of the original list price. The percent indicates how close the sale price is to the original list price.
SalePrice %Curr: this is percent that the sale price of the current list price. The percent indicates how close the sale price is to the current list price.
Summary by Listing Status – Agent detail drill-down:
You can view the agent details for a selected listing using the agent detail drill-down. To view the agent details, move the cursor over the listing to obtain the magnifying glass and double click. Shown above is an example of the agent details of the E. River Drive listing. Detail shown includes:
AgentName: Agent's name.
AgentCode: the ID code for the Agent assigned in BOS.
ListUnits: the list side units assigned to the agent for this listing.
ListVolume: the calculated list volume based on number of units X current price or sale price.

The Group #1 reports can assist by summarizing the listing production by other criteria. The following pages illustrate these added summaries.
Summary by Property Type
The summary reports can calculate totals by the property types your firm markets. The sample above illustrates how totals for all listings written for a selected period can be compared by property type. Here, you can compare the units, volume, days on market, and percentages of original listing price for each of your property types.
Summary by Price Ranges
This summary can help managers compare listing marketing between various price level groupings. The above shows how the report totals the listing marketing results by price range. The report can show relative strengths and concentrations in certain price levels.
The price range divisions are based on the listing's original listing price. For original listing prices up to $250,000 the ranges are $25,000. For original listing prices from over $250,000 to 1 million, the ranges are $50,000. And for original list prices over 1 million, the ranges are summarized every $250,000.
Summary by Month
Managers can compare listing marketing during the year using the summary by month report. The row summaries are based on the month of the listing date. The number of months compared is dependent on the listing date range specified when running the report
Summary by Seller Source of Business
If seller source of business is assigned for your listings, the summary by source can help managers compare where listing business is coming from.
Summary by City
Compare listing business by city using the above summary. Listings are summarized by the city name entered for each property in BOS listing management. Note that a preferences table for cities can be built to help the effectiveness of this report. Data entry personnel should use this drop-down when entering listings.
Summary by District
Compare listing business by district using the above summary. Here, listings are summarized and then market strength can be compared by the district assigned for each property in BOS listing management.
For version 10 conversions, the district is the same as the version 10 market area. The assigned market area in version 10 listing data is assigned to the BOS listing district. Further, districts can be expanded using the update within BOS Preferencesà District.

A
verages by Listing StatusTo help with listing management, a group of "Average" reports are available for the same levels and breakdowns as the summary reports. These reports calculate volume and price averages from the listing production figures from the detail listing data. A number of report types are available.
Above is a sample of a branch level report calculating average volume per unit and prices per property of all written listings for a selected listing time period and "As of " a particular date (e.g. 12/31/1999).

AverageSalePrice: the average sale price of all listings written for the period that are now pending or closed.
SalePrice %Orig: this is percent that the average sale price is of the average original list price. The percent indicates how close to the original list prices the sale prices are for listings written in the selected period.
SalePrice %Curr: this is percent that the average sale price is of the average current list price for the same listings. The percent indicates how close to the current list prices the sake prices are for listings written in the selected period.
